SSubPay
Built for UK construction payment law

Miss a deadline. Lose the payment.

Under the HGCRA, missing a Payment Notice or Pay Less Notice deadline can mean losing your right to dispute what's owed โ€” or being forced to pay the full sum claimed. SubPay tracks every deadline automatically, so nothing slips through a spreadsheet or a missed email.

Pay Less Notice deadline

Urgent

This isn't a guideline. It's the law.

Two deadlines decide who gets paid what.

5 days

Payment Notice deadline

Under the Scheme for Construction Contracts default, a Payment Notice is due within 5 days of the payment due date. Miss it, and the application itself becomes the deemed notice โ€” the full amount claimed is now what's owed.

7 days

Pay Less Notice deadline

A valid Pay Less Notice must be given at least 7 days before the final date for payment. Miss it, and the payer must pay the full notified sum โ€” no deductions, no dispute.

These are the Scheme's fallback periods and can be overridden by your contract's own terms. SubPay isn't a substitute for legal advice โ€” it tracks the dates your contract sets.

How it actually goes wrong

It's rarely one big mistake. It's a deadline nobody was watching.

A notice deadline buried in a contract nobody reopened. A payment application with no record of what was actually agreed. Retention nobody remembered to claim back. Each one is small โ€” until it costs real money.

No record when it matters

When a dispute happens, you need the exact date something was submitted โ€” not a memory of it.

Notices sent, then forgotten

A Payment Notice or Pay Less Notice is only useful if you can prove when it was given.

ยฃ

Retention nobody chased

Retention held past the defects liability period, quietly never claimed back.

Deadlines nobody was watching

Payment due dates and final payment dates that only became visible once they'd passed.

Features

One workspace for the whole payment cycle.

Contract terms, payment applications, notice deadlines and payments โ€” connected to each other, not scattered across a spreadsheet, an inbox and a calendar.

Notice deadline tracking

Every Payment Notice and Pay Less Notice deadline, calculated from your contract's own terms and flagged well before it's too late to act.

Contract terms

Payment terms, retention rules and CIS status stored once, then applied automatically to every application.

Payment applications

Claimed values, certified amounts, outstanding balances and final payment dates, all in one place.

Commercial dashboard

What's overdue, what's due soon and what needs attention โ€” across every active contract.

Audit trail

A clean record of what was submitted, when it was due, and what changed.

Team-ready

Built for accounts where more than one person needs visibility over the same commercial process.

How SubPay helps

Stay ahead of the payment cycle instead of reacting after a deadline's passed.

SubPay surfaces risk while there's still time to act on it: an approaching notice deadline, an overdue application, retention that should have been claimed back weeks ago.

Know what's outstanding

Every unpaid balance across every contract, before cash flow becomes a guessing game.

See what's due next

Payment due dates and final payment dates, visible to your whole team, not just whoever remembers.

Prove what happened

A dated record of every application, notice and payment, ready the moment a dispute starts.

Work from one source of truth

One workspace instead of a spreadsheet, an inbox, and a calendar that don't talk to each other.

Workflow

Built around the order construction payments actually happen in.

Not a huge ERP system โ€” a focused tool that keeps you organised, proves what happened, and makes sure a date never slips past unnoticed.
